How is data stored and secured in VisitMe?Data security is a top priority in VisitMe. All personal information captured during a visit is first encrypted and stored locally on the handheld scanner. Once the visit is completed, the data is securely transmitted to our servers via HTTPS and automatically deleted from the device. Our servers are hosted on Amazon Web Services (AWS) in the Cape Town data centre, within a protected Virtual Private Cloud (VPC). All information is stored in an encrypted MySQL database, and supporting files like images are kept securely in AWS S3 storage. Additional layers of protection include strong firewalls, restricted server access, and constant system monitoring to prevent unauthorised access. These measures ensure that your data remains secure at all times, during capture, in transit, and at rest—while complying fully with the POPIA Act.

Does VisitMe require internet to work?Yes, VisitMe requires internet connectivity for both the scanner and the online portal to operate. The scanner can be connected using a SIM card (mobile data) or via Wi-Fi, depending on what’s available on-site. Internet is also required to log into the web portal and access reports or manage data.

Is my data really safe once it's collected?Yes. All data is encrypted and stored locally on the handheld scanner until the transaction is complete. It is then securely transmitted via HTTPS to our cloud servers hosted on AWS (Cape Town). Once safely stored, the data is removed from the device. On the server, all data is kept in an encrypted MySQL database behind secure firewalls and a Virtual Private Cloud (VPC). Static files are stored securely in AWS S3. We also restrict access using strict IP whitelisting and maintain continuous system monitoring.

Is VisitMe compliant with the POPIA Act in South Africa?Yes. VisitMe is fully compliant with the POPIA Act. We implement consent-based data collection, encrypted storage, secure transmission, and offer data subject access and deletion rights.

How do you get my consent before collecting my data?Our systems are consent-driven. When a visitor arrives at a site, VisitMe’s scanner displays a consent panel requiring the user to sign and agree to the terms of data collection before their details are recorded. This ensures full compliance with the POPIA Act and places the visitor in control of their own data.

How do you ensure compliance with the POPIA Act?SA Technologies strictly follows the conditions set out in the POPIA Act. We only collect data that’s necessary, store it securely, and give users full rights to request, update, or delete their information. Data is stored for two years (unless otherwise agreed) and then automatically deleted or anonymised. Our Information Officer oversees POPIA compliance and handles all privacy-related queries.

How long do you keep my information, and what happens to it after?Data is stored for up to two years to ensure accurate record-keeping and incident investigation, after which it is permanently deleted or anonymised to prevent reconstruction. You may also request the early deletion of your information by contacting our support team.

Can I upgrade or downgrade my solution later?You can upgrade your solution at any time within your contract period by adding new features or modules at no extra monthly fee. However, downgrades are not permitted during the active contract term. Once your 24-month contract ends, you can renew it with a new package, at which point you’ll also receive a brand-new replacement scanner device for the next contract cycle.
